Conditions change before there is time to record them
In various insurance-related processes, it matters to have a clear reference of a property's condition on a given date. That reference is usually built from photographs taken by different people at different times, and it doesn't always hold up when it has to be reviewed months later.
Without a shared approach, it's not always clear which part of the property each image corresponds to, or what was left unrecorded.
The space gets cleaned, materials are removed, repairs begin. Whatever wasn't documented at the time is no longer available.
The people who need to review it are in different locations and can't always travel there when it matters.

That record corresponds to a specific date and is accessed through a link, which makes later reviews and remote checks easier without requiring everyone involved to be on site at the same time.
